Privacy Policy

LossRunGuru ("we," "us," "our") operates the lossrunguru.com website. LossRunGuru is operated by Mocsy Inc., the same company that operates SortSpoke. This page explains what data we collect, how we use it, and your rights.
What we collect
- Email address — when you join our early-access list, download a resource, or use one of our free tools (to receive results or continue after the free-use limit). Used for product updates, launch communication, and delivering what you asked for.
- Uploaded documents — loss run PDFs, ACORD 35 forms, and other documents you upload to our tools, plus the policy, claims, and — where present in the source document — claimant data we extract from them. Claimants are third parties who never signed up with us or interacted with our site directly; we hold this data only because it appears in documents our users upload for extraction.
- Agency contact details — if you use our request-letter generator and give us your email, we also keep the agent and agency name, agency email, carrier, and lines of business you entered, so we can understand who the tool is for. The insured name and policy details you type into that tool are never sent to us; see "Not transmitted" below.
- Filenames — we no longer record these as a data point, and no filename is ever attached to your contact record or your email signup. If you select a file but do not upload it, the name stays in your browser. If you do upload a document for extraction, the file is transmitted with its name as part of the upload and is handled as described under "Uploaded documents" above. A filename can itself contain an insured's name (for example, "Acme Trucking Loss Run 2024.pdf") — worth keeping in mind when you name files.
- Usage analytics — which pages are viewed, how visitors arrived, and general device, browser, and approximate location information, collected via Google Analytics and Ahrefs Web Analytics. We use it in aggregate to understand how the site is used; it is not linked to your email address or contact record.
- Source tags — which page or CTA prompted your signup, so we can understand what content resonates.
- Website activity — once you have submitted a form, our CRM associates your subsequent visits with your record: pages viewed, when, and the approximate location derived from your IP address. This relies on cookies; see "Cookies" below.
How we use your data
- To send you product launch updates and early access invitations
- To deliver downloadable resources you request (loss run templates, examples)
- To extract structured data from documents you upload and deliver the results back to you
- To understand which tools and features are used, for product improvement — in aggregate, and against the contact record of anyone who has given us an email address
- To understand which content drives interest (aggregate analytics only)
We do not sell or rent your personal data, and we never share it for anyone else's marketing. We do share data with the service providers below, only as needed to run the product, and only under contract.
Third-party services
- HubSpot — our CRM and email platform, and the only place your form submissions are stored. Every email address you give us goes here, along with the source tag for the form you used. From the request-letter generator it also receives your name, agency name, carrier, and the lines of business you selected. It never receives the insured name, policy numbers, policy period, or any filename. HubSpot also sets the cookies described below and, once you have submitted a form, records your page views against your contact record. HubSpot privacy policy
- Google Analytics — website analytics, loaded through Google Tag Manager. It sets the cookies described below. Google privacy policy
- Ahrefs Web Analytics — cookieless website analytics, loaded through Google Tag Manager. It counts page views, link clicks, and where visits came from. It sets no cookies and does not store your IP address: it combines your IP address and browser details with a value that is replaced every 24 hours into a one-way code, so a visit can be counted for that day but not followed across days or other websites, and it uses your IP address to estimate your city. Ahrefs privacy policy
- Cloudflare Turnstile — bot protection on the document upload flow. It checks that a visitor is human, which involves your browser and IP address, and does not receive your documents. Cloudflare privacy policy
- Amazon Web Services — website hosting, application hosting, and encrypted document storage (US region). AWS privacy notice
Document extraction. The AI extraction on documents you upload to any of our tools (loss run PDFs, ACORD 35 forms, and similar) runs on SortSpoke, our own document AI platform, operated by Mocsy Inc., the company that operates LossRunGuru. This is internal processing on our own platform, not a transfer to a third party or a sub-processor relationship, which is why SortSpoke is not in the list above. Email privacy@lossrunguru.com with any question about how extraction handles your documents.
Cookies
Google Analytics sets first-party cookies (_ga and _ga_*) that distinguish one browser from another so visits can be counted; they hold a random identifier, not your name or email. Our CRM, HubSpot, also sets first-party cookies that identify your browser so that once you submit a form we can associate that submission with the pages you viewed before and after it. The main one is hubspotutk, which stores a random visitor token — not your name or email.
These cookies are used for our own marketing measurement only. We do not run advertising cookies, we do not use them to build profiles for anyone else, and we do not sell what they collect. You can block or delete them in your browser settings; the site and all of its tools work normally without them, and the only effect is that Google Analytics can no longer recognise your browser and we can no longer tell which page led to a signup. Ahrefs Web Analytics sets no cookies, so blocking cookies does not affect it.
Data retention
Your email address is retained for as long as you remain subscribed to our list. You can unsubscribe at any time using the link in any email, and your data will be removed within 30 days.
Contact and source records. The agency details and source tags described above are retained as part of your contact record and are deleted the same way as your email address: unsubscribe, or email privacy@lossrunguru.com, and we will action deletion within 30 days. We do not collect or retain filenames.
Uploaded documents (main extraction tool). Loss run PDFs you upload to the main extraction tool, along with the data extracted from them, are retained indefinitely — we do not automatically delete them on any schedule. You can request deletion of any document or your entire account at any time by emailing privacy@lossrunguru.com, and we will action it within 30 days. We never use uploaded documents to train AI models.
Free tools (for example, the ACORD 35 extractor). Documents you upload to our free tools are sent to our extraction platform, SortSpoke, for one-time extraction; we do not keep a copy on our own systems afterward, and these tools do not currently offer a history or re-download feature. Because we don't retain the document itself, there's nothing to delete on that front — but any email address captured through these tools' email gates can be deleted the same way as described above. We never use these documents to train AI models. How long the extraction platform keeps these documents is available on request at privacy@lossrunguru.com.

Loss Run Request Letter Generator
Our free letter generator tool collects the following data when you submit a request:
- Sent to our CRM: Carrier name, lines of business, agent name, agency name, your email address, and a source tag identifying which page you used the tool on. This is stored in HubSpot and used for product improvement and market research. It is sent only once you have given us an email address — if you never do, nothing leaves your browser.
- Not transmitted (this tool only): Insured names and policy numbers you type into the request-letter generator are composed client-side in your browser and are never sent to our servers. This does not apply to the loss run extraction tool, which sends the documents you upload — and the insured and policy data in them — to our servers for processing; see "Uploaded documents" above.
- Email address: If you provide your email through the tool, it is stored for product communication. You may unsubscribe at any time.
- Local storage: Agency contact details are saved in your browser's local storage for convenience. This data never leaves your device.
We do not sell your personal information to third parties. Data collected through the tool is used exclusively for product communication and market research.
Do Not Sell My Personal Information
We do not sell personal information. If you are a California resident and wish to exercise your rights under the CCPA, contact us at privacy@lossrunguru.com.
